The Executive Committee May 27 2009 Synopsis:
The Executive Committee May 27 2009 Synopsis:
Membership: There was a discussion on the need for Membership Committee activity. After the meeting the Chair received a message (sent while the meeting was in progress) from the Membership Cochairs saying that they were resigning. Because of notice requirements, we cannot elect a new chair until the July Central Committee meeting at the earliest.
Data collection: There were two types of data discussed---1) voter and volunteer information data, and 2) fund raising data.
Currently the information for 1) on the VAN is not as useful as it should be. It was suggested that this is partly because we have not paid enough attention to the quantity and quality of the information we put in. Data Chair Paul Deaton will contact Micah Honeycutt of the IDP for suggestions on how we can improve.
For a variety of reasons, we should maintain our own fundraising data information. Paul Deaton will contact John Deeth about getting a list for a fundraising letter. He also volunteered to draft a fundraising letter.
Audit Committee: We need to complete an audit soon. It was supposed to be done by March 1. Although there were three who volunteered in January to do this, they left before their names could be recorded. At the May meeting we will begin this audit process again and ask for volunteers for the Audit Committee. There should be at least two members. This audit should cover the period of time since the last audit, until the month prior to the new audit. The Chair will try and find copies of previous audit reports to act as guide.
Two year budget: There was one typo mentioned and it was suggested that the budget changed to reflect an expectation that our income would equal our expenses. Also it was mentioned that we need to have a form of the Treasurers report that can more readily be related to the proposed budget.
Public Relations: We discussed the idea of adding more interesting content to our web pages. One possible idea is to post short video clips of interviews with winners of our Pioneer Awards.
The JCDems banner: The company who will make the banner will not bill to a non-profit organization. The Chair will make arrangements for payment.
Second District Convention 2010: It was discussed that we would like to have the 2010 Second District Convention to be held in Johnson County. The Chair agreed to contact the Second District Chair to ask for this.
